Who looks after your information

Care enquiries

The enquiry form collects your name, phone number and/or email, preferred contact method, broad local area, service interest, relationship to the adult concerned and confirmations about contact and age. We use this to respond to your enquiry and discuss suitability and next steps. Our lawful basis is our legitimate interest in responding to requests about our services. We do not add enquirers to email updates automatically.

Please do not submit diagnoses, medical records or sensitive information about another person. This form is for initial contact; any clinical information would need a separate, appropriate process. Care services are not yet running, and submitting an enquiry does not confirm an arrangement.

Launch and availability emails

If you choose to join our update list, we collect your email address and record your consent, the wording version and the submission date. We use your consent to send news about our launch and service availability. We do not sell this list or use it for other organisations’ marketing.

You can withdraw consent at any time using our removal request form, by emailing us or by calling us. The manager processes removal requests before sending further updates. Future emails must include a way to opt out.

Where submissions are stored

Netlify hosts this website and stores submitted forms in a dashboard accessible to the project’s authorised account holders. Netlify acts as a service provider and may process technical request information and spam-protection data. Its infrastructure may involve processing outside the UK; see Netlify’s privacy information for details. Our website does not publish submissions or expose a public mailing list. We may export records for the purposes described above.

How long we keep information

We review enquiry records and remove them when no longer needed for the discussion, unless a separate care arrangement or legal obligation requires retention. We keep update-list details while your consent remains valid and the stated purpose continues. If you opt out, we may retain a minimal suppression record to avoid contacting you again. Spam and test records can be removed separately. Removal from a display or an archive is not the same as deletion.

Your choices and rights

You can ask to access, correct or erase your information, restrict its use, or object to processing based on legitimate interests. Where consent is used, you can withdraw it without affecting earlier lawful processing. Rights depend on the circumstances. Contact us using the details above. You can also raise a concern with the Information Commissioner’s Office.

Website assistant

The optional assistant answers general business questions. Its default FAQ mode matches approved website answers in your browser. If you enable conversational AI, your question and a short recent conversation are sent through a Netlify server function to Groq to generate a reply. AI may be inaccurate and does not provide medical advice or assess care suitability.

Please do not enter health information, personal contact details or records. The site keeps chat messages only in the current page’s memory; Clear chat or reloading removes them from that page. We do not add chat messages to the enquiry or newsletter databases. Netlify and Groq may process operational information for hosting, security and abuse prevention under their policies. See Groq’s data information. If the free AI allowance or service is unavailable, the assistant switches to clearly labelled FAQ answers. For a private enquiry, contact info@gwesthaven.com.

Cookies and page content

Our site code does not add advertising, tracking pixels or third-party analytics. Fonts and photographs are bundled with the website. Netlify may process request and service information needed for hosting and spam protection. External credit and policy links lead to other websites when you choose to follow them.
